Clinologics LLC ("Clinogistic," "we," "us," or "our") operates a clinical operations software platform for wellness and optimization clinics. This Privacy Policy explains how we collect, use, and protect information in connection with our platform and website (clinogistic.com).

1. Information We Collect

We collect the following types of information:

• Business contact information — clinic name, address, phone, and email provided during onboarding
• Account credentials — staff login information for platform access
• Usage data — how staff interact with the platform for support and improvement purposes
• Payment information — processed securely through Stripe; we do not store raw card numbers
• Communications — emails sent to hello@clinogistic.com

2. Patient Health Information (PHI)

Clinogistic is a Business Associate under HIPAA. Patient health information entered into the platform by clinic staff is controlled by the clinic (the Covered Entity). We process PHI only as directed by and on behalf of the clinic. We do not sell, share, or use PHI for marketing purposes.

Before processing real patient data, clinics must execute a Business Associate Agreement (BAA) with Clinogistic. Contact hello@clinogistic.com to obtain a BAA.

3. SMS Communications

Clinogistic sends SMS messages on behalf of clinics to their patients for the following purposes:

• Appointment reminders and confirmations
• Check-in notifications to clinic providers
• Payment receipts
• Medication renewal reminders
• Membership notifications

Patient phone numbers are collected by clinic staff at the time of registration. Patients may opt out of SMS messages at any time by replying STOP. Message and data rates may apply. Message frequency varies by clinic activity.

4. How We Use Information

• To provide, operate, and improve the Clinogistic platform
• To process payments and manage billing
• To send transactional communications (receipts, alerts, reminders)
• To provide customer support
• To comply with legal obligations

We do not sell personal information to third parties. We do not use patient data for advertising purposes.

5. Data Storage and Security

Platform data is stored on Supabase (PostgreSQL) hosted on AWS US-East-1. We implement industry-standard security measures including encryption in transit (TLS), access controls, and audit logging. We are working toward full HIPAA Security Rule compliance prior to production launch with real patient data.

6. Third-Party Services

Clinogistic integrates with the following third-party services:

• Stripe — payment processing (stripe.com/privacy)
• Twilio — SMS communications (twilio.com/legal/privacy)
• Supabase — data storage (supabase.com/privacy)
• Anthropic / OpenAI — AI scribe features (anthropic.com/privacy)

7. Your Rights

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active platform users of material changes by email. Continued use of the platform after changes constitutes acceptance.
